Why you are waiting on money

You finished the job two weeks ago and you are still waiting to get paid. It is the most common cash headache in the trades, and it usually comes down to three things: the invoice went out late, there was no deposit up front, and paying you is a hassle. Fix those three and you will wait a lot less.

Take a deposit up front

If you are fronting all the materials and labor and only collecting at the end, you are acting as the customer bank. Do not. For most jobs a deposit of a third to half before you start is normal and fair — it covers your materials and it tells you the customer is serious. Someone who will not put money down before you buy their paint is someone who may not pay you after, either.

Invoice the same day — not when you get around to it

The single biggest delay in getting paid is the gap between finishing the job and sending the bill. If you wrap up Friday and send the invoice the following Wednesday, you have added five days to the payment and the job is not fresh in the customer mind anymore. Send the invoice the day you finish, while they are still looking at the fresh coat on their walls. Momentum is on your side the day the work is done.

Make paying you stupidly easy

Every bit of friction is a reason to pay you later. "Mail a check" means you are waiting a week minimum and hoping they remember. Give people ways to pay in ten seconds:

  • A pay-by-card link right on the invoice they can tap from their phone.
  • Clear terms on the invoice — "Due on receipt" beats "Net 30" if you want the money now.
  • The exact amount and what it is for, so there is no "let me check with my spouse" delay.

Follow up on overdue invoices without the awkwardness

Money gets forgotten, not refused, most of the time. A friendly nudge three days after the due date — "Hey, quick reminder that invoice #1042 is due, here is the link again" — gets most of them paid with no tension. Do not let it sit a month and then feel weird bringing it up. A quick reminder on a schedule is normal business, and it works.
