A CRM is not paperwork. It is the list that keeps leads, quotes, jobs and money from slipping. How to set one up and run your day from it in ten minutes.

What a CRM is actually for

CRM sounds like something for a sales team in an office tower. For a trade business it is simpler than that: one place that remembers every customer, every quote and every dollar owed, so you do not have to. If your business lives in your head, your texts and a notebook in the truck, you already have a CRM. It is just one that forgets things.

The point is not to do more office work. It is to stop losing work you already earned: the lead you meant to call back, the quote nobody followed up on, the invoice that went out three weeks late.

Put five things in it, and only five

Most owners quit a CRM because they try to fill in everything on day one. Start with the five things that make you money:

  • Every lead, the day it comes in: name, number, address and what they need.
  • Every quote, with the date you sent it and the price.
  • Every booked job, on the calendar, with who is working it.
  • Every invoice, and whether it is paid.
  • A next step on every open item: call Tuesday, follow up Friday, collect on the 15th.

That last one is the whole trick. A list of customers is a phone book. A list of next steps is a business.

The ten-minute morning

Before the first job, open the list and work it top to bottom:

  • New leads from yesterday: call or text every one before 9.
  • Quotes older than two days with no answer: send a short follow-up.
  • Today's jobs: confirm the crew, the address and the materials.
  • Money owed: anything past due gets a friendly reminder with the pay link.

Ten minutes. Then go to work. The owners who do this every day stop feeling behind, because nothing is waiting in the dark.

Measure the job, not the month

A busy month can still lose money if a few jobs were priced wrong. Once your quotes and invoices live in one place, look at each finished job: what you charged, what the labor cost and what the materials cost. The jobs that lose money usually look busy. A CRM is where you finally see which ones they are, and stop bidding them the same way.

Make it something your crew and your office can use

If only you can run the business, you are the ceiling. When the jobs, the schedule and the customer notes live in one shared place, a helper can answer "when is my painter coming?" without calling you on a ladder. That is the first step to a business that runs when you are not standing in it.
